Preparing for Travel

Our Home Away from Home

We have a stellar team at Travel Group who are available to support you if you run into any trouble with your flights. For support needs or queries leading up to the event please contact.

We have arranged travel insurance for your trip. Please keep a copy on hand in case you are asked at immigration.

You are responsible for arranging and making payment for travel from your home to the airport, and for arriving at the airport on time for your flight and any connections.

Along the Way

In advance of your trip, please take the following measures to help ensure smooth travels and mitigate any issues at the border:

  • PRINT your flight itinerary and return ticket
  • PRINT the Invitation letter
  • PRINT your proof of travel insurance
  • SECURE data or roaming for your travel time. This is the best way to stay safe and inform any others if you incur issues at the border (airport wifi is not reliable). If you do not have international mobile data, we recommend purchasing an eSIM

We recommend purchasing the $10 USD for 15 days, which you can activate on the day of your travel. This $10 will be added to your per diem to cover this expense. Some of you will have an overnight layover on your travel to and/or from the event. Please check your itinerary closely for any layovers, and their destinations. Accommodation will be arranged for you if you have an overnight layover and will be shared with you in a separate communication. You are responsible for the travel to and from the hotel, and for arriving back at the airport. You are also responsible for arriving at the airport on time for your connection. We’ve added to your per diem for this purpose.

Airport screening

Passengers at most airports are asked to go through a screening process. If a pat down is required, the officer will match the gender of whatever is stated on your government-issued identification. If you are using any binding garments or prosthetic, request a private screening, bring a friend if possible. You have the right to speak with a supervisor at any time during the screening.

Traveling with needles

Know the rules for traveling with needles. You may be stopped and asked by immigration officers randomly during bag checks. If you are planning on traveling with needles, syringes, or hormones, try to carry a note from your doctor explaining why you need them. In some places, you must have proof that they are prescribed. Keep any pills in a safe, dry place and never freeze any of your hormone vials.

Wearing or carrying prosthetics

If you are traveling with a prosthetic in your carry-on luggage, you may ask for a private screening or explain what it is. If you are trans masculine who packs regularly, make sure your packing piece is free of any metal parts. Also, be aware that a heavily bounded chest can raise concerns because it may appear that the passenger is hiding something underneath the wrap.

Choose comfortable clothing

Clothing with metal built into it will likely set off metal detectors and can create more hassle. So, we recommend trying to avoid binders, corsets, bras and jewelry with metal pieces while traveling if you can.

Shuffle to the Shuttle

For those flying in, we’ve arranged airport pick ups and drop offs to and from the hotel. Upon your arrival, please look for the “EVENT” sign. The representative will have all participants’ names with them and will facilitate your transfer to the hotel. The transfer company will use the sign “EVENT”. Tbilisi international airport is small and after taking the luggage you will find drivers easily at the departure hall. Weather Report

We’re expecting crisp air with an average temperature between -5 and 15 degrees in CITY. Should there be a weather system that impacts us we will be following standard protocols to ensure your safety.

Please bring layers, warm clothing, warm jackets, hats and gloves. We would recommend that you also pack a raincoat in case of rain.

What to Expect at the Event

Communication

In order to facilitate effective communication throughout the convening, we have established a Signal group for participants. To join the group, kindly click on this link. Upon joining, we kindly request that you introduce yourself in your preferred language by sharing your name, pronouns, country, and the name of your affiliated group. This will help foster a welcoming and inclusive environment for all participants.

Meals

We’re thrilled to have a welcome dinner on Mon. Feb. 26th for all participants. We have also arranged to cover breakfast, lunch and dinner buffets during the workshop including two tea breaks. Any additional snacks or drinks outside of these times will not be covered, unless already included in the hotel’s overall guest offerings. Please note that the organizers cannot cover any alcoholic beverages.

Per Diem

We’ll be providing per diems upon your arrival at registration to cover incidental costs related to attending the meeting (such as eSIM, travel to and from the airport in your hometown, snacks) and as a show of appreciation for your time and energy. You will receive your per diem when you arrive at the event, and sign off on receipt.

Safety

It is our goal to create a safe atmosphere that centers your well-being and creates an environment for you to be present and grounded in the space. We are working with hotel staff to make sure the event will be as secure and comfortable as possible. We encourage you to follow standard security and safety protocols as it relates to your personal items and self and be aware that we will not be the only guests at the hotel. The organizers will not be responsible for any loss or damage to any property. We welcome your concerns, feedback or questions if you feel unsure about anything at all.

We also ask participants to please travel in groups when leaving the hotel, especially at night.

Going Viral?

We hope to generate as much energy in the virtual space as we will in the physical space and encourage mindful sharing on social media throughout the event that simultaneously safeguard the meeting and attendants. Participants who have their personal video devices and cameras are requested to respect the privacy of the other participants and seek their consent before any pictures or videos are taken.

Non-consent: We will offer stickers so people can indicate that they do not consent to being photographed or filmed.

Documentation

We will be documenting parts of the workshop with video and photography. If you do not wish to be documented, we will honor that request. We will use the video and photography to help us document our learning throughout the project and to share with participants following the event.

Wellness

We’re creating specific spaces for your rest and healing. We’ll be providing some art and craft supplies, pillows and other items to create the wellness space for you. To make the wellness room extra cozy, we welcome and request that you bring your journals, blankets, cloth, textiles, crystals and any other personal items for the altar to co-create this space with you. We will also have some healers and therapists available for one-on-one support.

Dress for Comfort

Your comfort is a priority. There is no dress code so we encourage you to wear whatever feels affirming and comfortable for you, keeping in mind the activities and amenities.

Evening Activities

During the workshop, we are hoping to have some fun evening activities, including a welcome dinner on Monday night and a farewell dinner and drag show on Thursday night.

On February 28th, we will organize a farewell dinner and on February 29th you are all invited to a drag show, in 2 separate spaces in the queer district that will be covered by the organizers. One free drink will be offered to participants at the club during the drag show (coupons will be handed).

Accessibility

The conference venue has ramps/elevators that make it easy to access amenities like the guest rooms, conference room, dining areas and the common areas. The rooms are differently abled persons friendly and we have the assurance of the conference venue that they will make extra arrangements to ensure comfort. There will also be healing and wellness rooms on site for anyone to access throughout the event in case they need to step away for some quiet time.

COVID & Sick Precautions

If you are not feeling well, we ask that you please take care, rest up and reach out to one of the organizers to get your needs met. We can also offer COVID tests. If a person has COVID positive results, they should alert the Coordination Team via the Emergency Contact representatives listed below and begin isolation in their room. They will be assigned a Care Point person who will check in with them each day and make sure they have food, medicine, or other things to make sure they are comfortable and able to recover.

Medical

For participants with health problems, do ensure that you have all your necessary medication with you during your travel. We kindly advise all participants to have the Coordination Team contacts (shown at the bottom of this page) with them in case of any emergencies. In addition, for any special requests regarding your health and well being during the conference, do not hesitate to contact us.

The nearest hospital is University Hospital, which is 200m away from the hotel, address of the hospital is ADDRESS. In case of emergency in PLACE: need to call on 112 where all the emergency service that anyone will need are combined: medical, emergency, police, etc.

Near Sulfur Baths is located Old Town of Tbilisi, beautiful place to have a walk and see all the ancient building and historical places of the town. Also, there is Narikala, an ancient fortress overlooking Tbilisi, the capital of Georgia, and the Mtkvari River. The fortress consists of two walled sections on a steep hill between the sulfur baths and the botanical gardens of Tbilisi.

All above-mentioned places (Sulfur baths, Narikala, Old town and Botanical Garden) are close to each other, there is entrance fee only in Botanical garden, student’s cost is 1 Gel and for others – 4 Gel.
